Refund & Cancellation Policy

1. Overview & Philosophy

ZIPROTO is committed to delivering exceptional engineering, design, and growth marketing services. Because professional technology development and digital campaigns involve custom allocation of senior engineering personnel and cloud infrastructure, our refund and cancellation terms are structured around verified project milestones.

2. Service Cancellation

Clients may request project cancellation by submitting written notice via registered email to [email protected]. Cancellation timelines apply as follows:

  • Before Project Kickoff: If a cancellation notice is received prior to the formal kickoff meeting and before technical architecture work begins, clients are eligible for a full refund minus a 5% administrative/processing fee.
  • During Active Milestones: Once project discovery, design wireframing, code development, or advertising setup has commenced, payments for that specific milestone become non-refundable. Any unstarted subsequent milestones will not be billed.
  • Monthly Retainers (SEO, Social Media, Ads): Retainers require a 15-day written notice prior to the start of the next billing cycle. Services will continue until the end of the paid month with no pro-rated refunds for partial months.

3. Refund Eligibility Criteria

A partial or complete refund may be evaluated under the following specific circumstances:

  • Failure on the part of ZIPROTO to commence work within 14 business days of contract signing without mutual written consent.
  • Inability of ZIPROTO to fulfill explicit technical deliverables documented in the signed Statement of Work (SOW) after allowing for a reasonable 30-day cure period.

4. Strictly Non-Refundable Items

The following expenses are strictly non-refundable:
  • Third-party platform media ad spend (Meta Ads, Google Ads budgets paid directly to ad networks).
  • Third-party domain registrations, web hosting, and SSL certificates.
  • Commercial software licenses, API consumption charges (e.g. OpenAI tokens, Twilio credits).
  • Completed milestones that were approved and signed off by the client in writing.

5. Dispute Resolution & Escalation

We believe in resolving any client concerns cordially and professionally. In the event of dissatisfaction with any deliverable, clients agree to participate in an executive resolution meeting within 7 business days to discuss revisions before initiating formal payment disputes.
